Discussed in this executive meeting:
Financials, the Ski Trip, the website,
BBQs (or lack thereof), various events,
and possible corporate sponsorship.
|
| This meeting was a trial run of an online meeting format. Unfortunately, not many people were in attendance.
18:20 <@Thomas> First item for discussion is financials: unfortunately, we don't have vamsi, sweta or david here, so they can't tell us about impact on our budget of any recent events
18:20 <@Thomas> I talked with david earlier, and we did send the money to Eva.
18:20 <+CXI_unsw> oh, good, that's been done... so all that's left is the school (maybe) and joseph?
18:20 <+Piyush> great
18:21 <@Thomas> I think we need to get money from casoc
18:21 <@Thomas> I'm not sure when that will happen
18:21 -!- hjlavery [hjlavery@32177666.B3119769.2AFA1539.IP] has joined #compsoc-exec
18:21 <@Thomas> hjlavery: Ah, hello, we were just starting
18:21 -!- mode/#compsoc-exec [+v hjlavery] by Thomas
18:21 <+hjlavery> sorry im late
18:21 <@Thomas> Once vamsi gets our affiliation money, we'll be able to pay joseph and the school
18:21 <+CXI_unsw> we paid eva back without the casoc money?
18:22 <@Thomas> we paid them with the refund for losses related to last year's ball
18:22 <+CXI_unsw> hmm... is it looking likely that we'll actually get the money?
18:22 <@Thomas> I think so, I think the paperwork just has to go through
18:22 <+CXI_unsw> well, it's been just having to go through for about a month now
18:23 <@Thomas> I vote that if no action is taken by next meeting, we actively contact vamsi, and if he's too busy to do it, get someone else to
18:23 <+CXI_unsw> seconded
18:23 <@Thomas> OK, so that's an action item
18:23 <@Thomas> The star wars thing didn't affect the budget, so otherwise everything is fine.
18:24 <@Thomas> Anyone have anything else to say on this agenda item?
18:24 <@Thomas> OK
18:24 <@Thomas> --- Agenda item 2: Ski Trip ---
18:25 <@Thomas> Did we end up sending anyone to the inter society committee?
18:25 <+Piyush> I don't think anyone from the ski trip commitee is here
18:25 <+CXI_unsw> we sent a couple, iirc, but they're not here
18:25 <+Piyush> sweta should have the latest info
18:26 <@Thomas> OK, so I guess we'll have to put this on ice pending any further information from anyone
18:26 <@Thomas> BTW, anyone planning on going?
18:26 <+CXI_unsw> I doubt I will - cost being what it is
18:26 <@Thomas> OK, fair enough
18:26 <@Thomas> --- Agenda item 3: Website ---
18:26 <@Thomas> Sam, I'm going to ask you to report
18:27 <+CXI_unsw> yeah - sorry, no progress as yet
18:27 <+CXI_unsw> other things have been keeping me too busy :/
18:27 <@Thomas> Yeah, it's that time of year
18:27 <@Thomas> Well, no big deal at the moment, though it's poor publicity
18:27 <@Thomas> For instance, none of the star wars stuff ever hit the website
18:28 <+CXI_unsw> did we nominate someone to post stuff to the website? (I hope it wasn't me)
18:28 <@Thomas> By the way, this is a typical problem of having an in-exec communication method (here email) which doesn't help the outside world
18:28 <@Thomas> Erm, yeah, we nominated aftab
18:28 <@Thomas> he's been putting up some of the minutes, which isn't making the website any prettier
18:28 <+CXI_unsw> yeah
18:28 <@Thomas> and since the ordering is odd, not any more helpful
18:28 <+CXI_unsw> I asked if we wanted to have that on the front page or not...
18:29 <+hjlavery> i dont think anyone likes it.....
18:29 <@Thomas> I have this feeling it would be nicer if we just linked the minutes on the front page
18:30 <+CXI_unsw> hmm
18:30 <+Piyush> agreed
18:30 <+CXI_unsw> there's some way to obscure them behind "read more" things, but I don't really know anything about that
18:30 <+CXI_unsw> *has a look*
18:30 <+Piyush> a link would be cleaner... with the frontpage used for announcements
18:31 <@Thomas> Since people seem to have an opinion on this, does anyone think it might be a good idea to move to a wiki-style system? I'd set it up so that anyone in the exec could modify pages, and we could have the news stuff at the front just link in to those announcements
18:31 <+hjlavery> it would make life easier
18:32 <@Thomas> Here's the point: it's not great to make it the responsibility of one person on the exec to communicate what we're doing on the website
18:33 <@Thomas> That way it just becomes a burden, and the site reflects that
18:33 <@Thomas> If we actually kept notes on things ourselves there, and just made some of them public, that would probably be OK
18:33 <@Thomas> Anyone have anything else to say about the website?
18:35 <@Thomas> All right, I guess we'll move on. I don't think we'll see any action on the website right now, since both Sam and I are busy with other work for the next few weeks.
18:35 <@Thomas> But I vote that we try to get some action there once assignments are done.
18:35 <+Piyush> sounds good
18:35 <+hjlavery> yeah, maybe try to have something substancial up by begining of next semester
18:36 <@Thomas> --- Agenda item 4: BBQ? ---
18:36 <+CXI_unsw> oh, one thing
18:36 <@Thomas> There have been calls for a BBQ, and david slated it on the agenda here
18:36 <+CXI_unsw> (sorry, I wasn't looking at this window)
18:36 <+CXI_unsw> give the website a look now
18:36 <@Thomas> CXI_unsw: go ahead
18:36 <@Thomas> --- Agenda winding back to website
18:37 <+CXI_unsw> possibly needs to be unified a little, but general idea is okay?
18:37 <@Thomas> Looking good.
18:37 <@Thomas> Much more tidy
18:37 <@Thomas> thanks to sam
18:37 <+hjlavery> good work sam
18:38 <@Thomas> Oh, while we're on the topic, the other thing to say is that we should address those top links: we need to talk about some of the other compsoc services (including this irc server) in there somewhere
18:38 <@Thomas> But we can do that later.
18:39 <+CXI_unsw> yeah, that's a good point, there's not really a "what we do" section
18:39 <@Thomas> --- Agend item 4: BBQ? ---
18:39 <@Thomas> sigh. that's agenda
18:39 <+CXI_unsw> didn't we cover this at the last meeting?
18:39 <@Thomas> I think so
18:39 <@Thomas> It remains a financial ... issue.
18:39 <+CXI_unsw> and the meeting before, I think
18:40 <@Thomas> OK, so until anyone has anything else to say about it, we scratch that from the agenda
18:40 <@Thomas> --- Agenda item 5: Events ---
18:40 <@Thomas> What kind of events do you think compsoc should be holding?
18:41 <@Thomas> All of you guys are in lower years (which is probably representative of the fact that you guys don't get hit with quite as much work about this time)
18:41 <+CXI_unsw> well, right now I think nothing
18:42 <+CXI_unsw> but if you're talking in general I quite like dvd nights/games nights/other things like that
18:42 <@Thomas> So this idea probably won't mean much to you, but I was wondering if we should hold later in the year something for students entering their thesis year vaguely like what Sam did for first years wondering about higher
18:42 <+CXI_unsw> ah
18:42 <+CXI_unsw> I think that's a good idea
18:42 <@Thomas> I'd need to check it's not very similar to anything the school runs already.
18:43 <@Thomas> But if a couple of people like myself, and maybe sara and philip, anyone we can find, I guess, talked about their experiences, and common pitfalls, that might be helpful to people.
18:44 <@Thomas> There's also Sam's idea about social events
18:44 <@Thomas> I vote we should hold at least one wind down event around about the end of wk 14
18:44 <+hjlavery> yeah, maybe the dvd/games night
18:44 <+CXI_unsw> definitely
18:46 <@Thomas> OK, well, if there's nothing else to say about that right now, I guess the meeting comes to a close
18:46 <@Thomas> Unless there are any agenda items people want to raise?
18:46 <+CXI_unsw> actually, how was star wars?
18:46 <+hjlavery> good fun
18:46 <@Thomas> It went pretty well.
18:47 <@Thomas> But one way and another I didn't really end up sitting with a whole bunch of compsoc people
18:47 <@Thomas> So it wasn't a massively social event
18:47 <+CXI_unsw> ah :/
18:47 <@Thomas> These things happen.
18:47 <@Thomas> On the whole, I think we did good.
18:48 <@Thomas> In terms of putting compsoc's name on something, we definitely got somewhere.
18:48 <@Thomas> In terms of getting the people who were there to really identify us as having done something significant for them, it might not have been worth the investment
18:50 <@Thomas> OK, anything else for consideration?
18:50 <+CXI_unsw> *tumbleweed*
18:51 <+Piyush> hey guys
18:51 <@Thomas> Piyush: yup?
18:51 <+Piyush> Umm Dan from revue wanted me to pass on a message
18:51 <+Piyush> he said
18:52 <+Piyush> Dan: If compsoc wants money from Microsoft, then email dan for details
18:52 <@Thomas> Well, that's certainly interesting
This meeting was conducted online: unfortunately, very few of us could turn up. We'll evaluate that outcome next meeting.
18:52 <@Thomas> --- Agenda item 6: Corporate sponsors ---
18:52 <@Thomas> Any further information about that?
18:54 <@Thomas> OK, well, does anyone want to take that up?
18:56 <+hjlavery> if noone else will ill look at it...
18:56 <@Thomas> Well, OK, I vote we postpone this to next week's meeting, where hopefully some more people are here
18:56 <@Thomas> But maybe someone should ask about the details in the meanwhile
18:57 <@Thomas> Anyone volunteering?
18:58 <@Thomas> OK, I want to wind this up, so I think we'll leave that as is
18:58 * hjlavery points at Piyush
18:58 <+Piyush> sorry guys just working on a lab
18:58 <+Piyush> I'll talk to Dan
18:58 <@Thomas> OK, try to get some details to report on for next meeting
18:59 <@Thomas> OK, that's that. |
